# Replying to every enquiry in 15 seconds, even at 9pm

> Building a small automation that answers new leads in seconds and offers a real time slot, and why the hardest part was teaching it when not to book.

- Result: Replies in 4–15 seconds, 24/7 (measured in testing)
- Running cost: Roughly $10–30/month, plus a few cents per text
- Works with: Website forms, Facebook lead ads, Google or Outlook calendar, SMS, A CRM or a spreadsheet
- If it gets it wrong: Anything that sounds urgent or medical skips the booking and goes straight to a person. It never quotes a price that isn't on the list.

## Why I built this

Someone fills in an enquiry form at 9pm. The owner sees it at 8am and replies at 10. By then the person has booked with whoever answered first.

I kept hearing versions of this from small service businesses. Nobody was slow on purpose. They were just busy doing the actual work.

## What it does

Every new enquiry gets a short, friendly reply with a real time to book. In testing it replied in **4 to 15 seconds, every time**, including after hours.

> The owner doesn't answer faster. They just stop being the one who has to answer first.

## How it works

1. **A lead comes in** from a website form, a Facebook ad or a missed call.
2. **It picks a real slot** from the calendar that fits what they asked for.
3. **AI writes the reply** using only the business's real prices and services.
4. **Anything sensitive goes to a person.** In the physio clinic demo, red-flag symptoms go straight to staff instead of being booked.
5. **The lead lands in the CRM** in the right stage, and the owner gets a notification.

## What it runs on

A website form, a Google or Outlook calendar, an SMS provider and a CRM (a spreadsheet works too). The demo is a physio clinic with test leads, but the same shape fits trades, salons, tutors or anyone who takes bookings.

## What it costs to run

| | |
|---|---|
| **Automation server and AI** | Roughly $10–30 a month at small-business volume |
| **Each text** | A few cents, charged by the SMS provider |
| **Owner's time** | Close to zero: only the leads it hands over |

## What I learned

- **The hard part wasn't writing replies.** It was knowing when *not* to book. The red-flag rule ended up being the most important line in the whole thing.
- **Missed calls don't need AI.** A fixed, friendly "sorry we missed you" text works better than anything generated.
- **Never let it guess a price.** It only quotes from the price list. If something isn't on it, a person follows up.
